Terms and Conditions

For the purposes of these Regulations, the following definitions are provided:

  1. Client – a natural person, a legal person or an organizational unit without legal personality, which purchases the EMYA2025 Conference participation.
  2. Organizer – the Sybir Memorial Museum with its registered office at ul. Węglowa 1, 15-121 Białystok TIN: 542-326-49-15.
  3. Participant – a natural person indicated in the register form as the EMYA2025 Conference participant.
  4. Invoice – an electronic purchase document issued and provided in a PDF file via e-mail address specified by the Client in the purchase process.
  5. Website – website for the EMYA2025 Conference registration: www.register.emya2025bialystok.com, which enables payment for the participation in the EMYA2025 Conference.
  6. EMYA2025 Conference – the conference titled Remembrance and Solidarity for Collective Action, hosted by the Organizer, for which a registration fee is charged for the participation/entry of the Participant to the EMYA2025 Conference in the option selected by the Participant via Website.
  7. Site – a location where the EMYA2025 Conference is going to be held.
  8. Participation confirmation – a document authorizing the participation in the EMYA2025 Conference, confirming paying a fee for the EMYA2025 Conference participation.
  9. Shopping cart/Summary – agreed term determining the status of the participation in the EMYA2025 Conference; confirmation of the participation from the Summary section is assigned to the Client.
  10. Order – declaration of intent to purchase the participation in the EMYA2025 Conference in the option selected by the Client.
  11. Payment for the EMYA2025 Conference participation – a fee paid by the Client for the EMYA2025 Conference participation, including the entrance of the awards ceremony and gala dinner.

 

§ 2 General provisions

    1. These Regulations, hereinafter referred to as the Regulations, define the rules of payment the fees for the EMYA2025 Conference participation via Website.
    2. All services provided via website are subject to the Regulations.
    3. An access to the Website is available to anyone having the possibility to connect to the public Internet network under terms specified in the Regulations.
    4. The Regulations are available to Client free of charge via the Website in a form enabling its downloading, saving and printing.
    5. Before starting the process of registration for the EMYA2025 Conference and paying the fee for the EMYA2025 Conference participation the Client is obliged to read the Regulations. By registration for the EMYA2025 Conference and paying the participation, the Client accepts the Regulations.
    6. Starting from the beginning of the EMYA2025 Conference registration process Clients are obliged to comply with the provisions of the Regulations.
    7. The Regulations constitute an integral part of the sales agreement concluded with the Client.

    § 3 Order and Payment

      1. Orders can be submitted via registration form available on the Website.
      2. The fee can be paid in the following ways:
      • via PayU or
      • via bank transfer to a bank account: SWIFT code PKOPPLPW PL85 1240 5211 1111 0010 7723 1012.
      1. In the title of the transfer please specify: name and surname of the Participant, the order number.
      2. The Client has the right to select the payment method for the EMYA2025 Conference registration, unless only one payment method is available.
      3. The Client will receive an invoice in order to confirm the payment.
      4. For paid confirmations of the participation purchased via the Website, invoices are issued after the payments are processed and sent via email address provided by the Client.
      5. The Participant consents to receive the electronic invoice.
      6. It is possible to collect the invoice personally at the registered office of the Organizer at the Client’s request.
      7. In the case of making the payment via bank transfer, after the confirmation of the reservation, the Client will be provided with information regarding the bank account with the order’s number that should be specified in the title of the bank transfer. The bank transfer should be made during 3 working days from the receipt of the reservation confirmation.
      8. Information provided on the Website does not constitute an offer within the Civil Code meaning. By placing an order, the Client offers the purchase of the specified participation option. The agreement is concluded at the moment of documenting the payment, in accordance with the method selected by the Client.
      9. The Client can select and make the payment for one participation reservation.
      10. The order is placed at the moment of selecting the registration option, defining the quantity and selecting the payment method.
      11. In the case of the lack of payment, the order will be automatically cancelled:
      • within 3 working days from the date of placing the order via Website, in the case of a declared payment via traditional bank transfer, if the payment has not been documented within this time;
      • within 15 minutes from the moment of placing the order via Website, in the case of a declared payment via the PayU system method, if the payment has not been authorized within this time.
      § 4 Fees

        1. Prices specified on the Website are gross prices (including VAT tax).
        2. The payment for registration can be made after entering on the Website, selecting the registration option and filling in the necessary personal data of all participants being registered.
        3. The condition of confirmation of the registration-purchase the Conference participation is making the payment for the EMYA Conference participation in accordance with the option selected by the Client.
        4. After filling in and confirming the accuracy of the data given in the registration form, an email being the confirmation of receipt of the application for the EMYA2025 Conference participation will be sent on the email address provided during the registration process. Then, as soon as the payment is documented, an email confirming the participation will be sent. This email will also be an authorization for participation in the Conference in accordance with the option selected by the Client.

        The registered Client after making the payment, receives the confirmation of participation by printing received email at one’s own responsibility, which should be presented while entering the EMYA Conference.

        § 5. Responsibility

        The Organizer does not bear any responsibility for:

        • any damages caused by the usage of the Website and the registration system by Clients in a manner inconsistent with the law or the Regulations;
        • any damages caused by the disclosure of personal data in accordance with the Privacy Policy and the rules of personal data processing;
        • blocking emails sent on the email address provided by the Client by the email server administrators, or deleting and blocking them by software installed on the Client’s computer.

        §6. Refunds

        1. The Client may resign from the participation in the EMYA2025 Conference without providing a reason within 14 days from the date of payment for the participation in the Conference. The Organizer will refund the amount of the purchased service to the bank account provided by the Client. Any additional costs incurred by the Client regarding placing the order are not subject to refund.
        2. In the case of returning because of the resignation, Clients who purchased the participation in the Conference in the foreign currency, the payment will be returned in the same currency.
        3. Any refunds made to the Client will be made only in the case of completing the registration process which enables the clear identification of personal and address data of the Client. If there are doubts (e.g. non-compliance data of Client requesting the refund with data of person who made reservation), the Sybir Memorial Museum reserves the right to request additional clarifications or statements before the refunding process starts.
        4. Apart from the cases listed above, the Client has the right to withdraw from the agreement in accordance with the terms specified in the provisions of the general law.

        §7. Complaints

          1. Complaints in terms of registration fees may be submitted electronically via email address: emya2025@sybir.bialystok.pl or in written form to the address of the registered office of the Sybir Memorial Museum.
          2. The Sybir Memorial Museum will respond to the complaint immediately, no later than within 14 days from the date of the complaint’s receipt.
          3. In the case that the Sybir Memorial Museum does not accept the complaint, the Client may use methods being out-of-court ways of processing complaints and pursuing claims. Particularly, the Client may contact the consumer organizations and municipal or district consumer right advocates. Detailed information regarding available options for Client being a consumer, of using out-of-court methods of handling complaints and pursuing claims and the access to such procedures is available on the website of the Office of Competition and Consumer Protection: www.uokik.gov.pl.

          §8. Data protection

          1. By registering for the Conference on the EMYA2025 Conference Website, the Participant consents to the processing of personal data.
          2. Detailed rules of the processing of personal data are provided in the Accounting Policy available at the link: register.emya2025bialystok.com/en/privacy-policy/.

          §9. Changes of the Regulations

          The Sybir Memorial Museum reserves the right to make changes in the Regulations, which are in force from the day of their publication on the Website.

          §10 Final provisions

          1. In subjects not specified in these Regulations, general provisions of the Polish law, including the Civil Code, should be applied.
          2. In the case of any disputes with the Client, the competent court for resolving them is the common court in Poland in accordance with the applicable law.
